Last Updated: October 1, 2025

PCL Graphics Ltd. ("we," "us," or "our") is committed to protecting the privacy and security of your personal information in accordance with the *Personal Information Protection and Electronic Documents Act* (PIPEDA) and other applicable Canadian privacy laws. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you interact with our website, including through our project initiation form and potential hires form. By using our site or submitting information via these forms, you consent to the practices described herein.

We are accountable for the personal information in our possession or control, and we have designated a Privacy Officer to oversee compliance with this Policy and PIPEDA. If you have questions about this Policy or our privacy practices, please contact our Privacy Officer at sales@PCLgraphics.com or 55 Clegg Rd, Markham, Ontario L6G 0C6.

1. Personal Information We Collect

We limit our collection of personal information to what is necessary for the identified purposes and only collect it with your knowledge and consent (except where required by law).

Through our website forms, we may collect the following types of personal information:

Start a Project Form: Name, email address, phone number, project details or requirements, and any other information you voluntarily provide to inquire about or start a project.

Potential Hires Form: Name, email address, phone number, resume or CV details (e.g., work history, education, skills), cover letter, and any other employment-related information you submit to express interest in job opportunities.

We also automatically collect non-personal information, such as IP addresses, browser type, and site usage data via cookies or similar technologies, to improve site functionality. You can manage cookie preferences through your browser settings.

2. How We Collect Personal Information

We collect personal information directly from you when you voluntarily submit it through our online forms. This collection occurs only after we have informed you of the purposes (as outlined below) and obtained your consent by proceeding with the submission.

We do not collect sensitive personal information (e.g., health or financial data) through these forms.

3. Purposes for Collecting, Using, and Disclosing Personal Information

We identify the purposes for which personal information is collected at or before the time of collection. Your information is used and disclosed only for purposes a reasonable person would consider appropriate.

Start a Project Form: To assess your project needs, respond to your inquiry, initiate and manage the project, and communicate updates. We may disclose it to our team members involved in project delivery.

Potential Hires Form: To evaluate your qualifications, contact you regarding opportunities, and process applications. We may disclose it to our HR team, hiring managers, or third-party service providers (e.g., background check firms) under strict confidentiality.

We will not use or disclose your information for any new purpose without obtaining your consent, unless required by law (e.g., for legal proceedings or regulatory compliance).

4. Consent

Your consent to the collection, use, and disclosure of personal information is obtained by providing this Privacy Policy (linked near our forms) and allowing you to submit the form. Consent is implied through your voluntary submission but can be express (e.g., via a checkbox if implemented).

You may withdraw consent at any time by contacting us (see Section 9). Withdrawal may limit our ability to process your project or application, and we will explain any implications before proceeding. Note that withdrawing consent does not retroactively affect prior lawful uses.

5. Limiting Collection, Use, Disclosure, and Retention

We collect only the information necessary for the stated purposes. Use and disclosure are limited to those purposes, with exceptions for legal requirements.

Personal information is retained only as long as necessary to fulfill the purposes, or as required by law (e.g., tax or employment records). For project inquiries, data is typically retained for 2 years or until the project concludes. For hires applications, unsuccessful applications are retained for 1 year for potential future opportunities, after which it is securely deleted or anonymized.

6. Accuracy

We make reasonable efforts to ensure your personal information is accurate, complete, and up-to-date as necessary for the purposes for which it is used. You can request corrections at any time (see Section 8).

7. Safeguards

We protect personal information with safeguards appropriate to its sensitivity, including:

Physical: Secure storage and access controls.

Organizational: Employee training and confidentiality agreements.

Technological: Encryption, firewalls, and secure servers.

Our third-party service providers (e.g., form hosting platforms like Squarespace) are contractually required to maintain equivalent protections and are prohibited from using your information for other purposes.

In the event of a privacy breach posing a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.

8. Your Rights: Access and Correction

Under PIPEDA, you have the right to:

Access: Request details about the personal information we hold about you, including how it was collected, used, or disclosed. We will respond within 30 days (extensions possible with notice).

Correction: Ask us to amend inaccurate or incomplete information.

Requests should be directed to our Privacy Officer. We may charge a nominal fee for access requests and require verification of your identity. If we deny a request, we will explain why in writing.
